How to monitor Shopify payment authorization expiry

An authorized payment is not a captured payment. When capture is delayed, the useful records are the authorization time, any successful capture or void, and the expiry time if Shopify exposes it. Review those facts before choosing an action for the order.

THE USEFUL DISTINCTION

Use Shopify’s actual expiry time when available. Where it is unavailable, an age-based alert is a prompt to investigate, not a confirmed expiry deadline.

Separate authorization from payment collection

Authorization confirms that a payment can be captured within the provider’s authorization period. Capture is the later step that collects payment. An order marked Authorized can therefore be awaiting both a fulfillment decision and payment collection.

Shopify’s documentation lists a standard seven-day authorization period for Shopify Payments and explains that periods depend on the provider. Extended periods can apply to eligible Shopify Plus transactions. Do not turn a general rule into an exact deadline for every gateway or card.

Check the payment capture method in Shopify and whether a fulfillment or payment app participates in the workflow. Manual capture, delayed fulfillment, or a postponed stock decision can explain the wait, but the transaction history is what confirms its present state.

Review the affected transaction

Work from the order’s payment timeline rather than an incident title alone. A later successful capture or void changes what needs attention. A delayed source update can also explain why two screens briefly disagree.

  1. Open the affected order in Shopify Admin and locate the successful authorization, its time, amount, and gateway.
  2. Check for a successful capture, successful void, or order cancellation associated with that authorization.
  3. Review the expiry details available in Shopify or from the payment provider; confirm whether the order can proceed under your normal payment and fulfillment policy.
  4. Assign a team member to the appropriate next step in Shopify, then confirm the updated transaction state after synchronization.

Know which clock the alert uses

Shopify’s authorizationExpiresAt API field is available only to Shopify Plus stores. When an expiry timestamp is present, Watchwick’s default is to flag an uncaptured authorization within 24 hours of that timestamp. When the timestamp is absent, its default is to flag an authorization at least five days old.

These are elapsed clock hours and days. They are not fulfillment business hours, and a weekend does not pause them. Both thresholds are configurable, but changing the age threshold does not change the provider’s real authorization period.

An age-based finding should be read as ‘this authorization has waited long enough to review.’ It should not be read as ‘this payment definitely expires tomorrow.’ An exact timestamp and an inferred risk deserve different language when your team communicates about the order.

Keep the evidence and limits visible

Watchwick checks successful authorization transactions and excludes test orders, cancelled orders, and authorizations with a successful associated capture or void. Findings include order links and available authorization evidence. The monitor can continue showing a recently expired authorization, so presence in the queue does not guarantee that capture is still possible.

The affected amount represents uncaptured authorization value. It is not collected revenue or a guarantee of recovery. Watchwick does not capture, void, or cancel payments: store decisions and payment actions remain with your team in Shopify.

Confirm provider-specific rules and current Shopify transaction details before acting. Where Shopify does not provide an expiry timestamp, Watchwick uses authorization age and labels that limitation.
